Sign contracts online in the Kodo Portal
Sign the complete PDF, keep every version together and let the portal handle the filing.
You can now sign contracts directly in the Kodo Portal and keep the finished PDF with your company's documents. Upload the complete file, review it, add your digital signature and wait for confirmation that it has been saved to your client file.
The service is available to registered Kodo clients, including clients signing their first agreement before paying an invoice. You do not need a paid packaging EPR service to use contract signing.
We added this service to make a familiar piece of administration easier: receiving a contract, signing the correct version and making sure everyone can find it afterwards. Fewer attachments to track, fewer requests for a missing page and less time spent checking which copy is the latest.

One complete PDF, from receipt to the client file
For contracts returned to Kodo, we now require a complete PDF with a certificate-based digital signature. We no longer accept scans or photographs of signed paper contracts. A handwritten signature pasted or drawn into a PDF is also insufficient on its own.
You can sign directly in the portal or use the digital-ID signing function in Adobe Acrobat Reader or Foxit PDF Reader. Either way, work with the actual PDF supplied for signature and keep all pages together.
For EKO-KOM's electronic contract procedure, its published instructions likewise ask for an electronically signed PDF and reject a scanned, hand-signed printout. They also require the document to remain unlocked so the remaining parties can add their signatures. These are the requirements of that electronic procedure; follow the instructions supplied for your particular agreement. EKO-KOM's electronic-signing guide
How to sign in the portal
- Open Sign a PDF. Sign in through the Kodo client area, select the correct company and open the signing workspace.
- Choose the complete document. Upload your PDF or open a contract prepared by Kodo when one is available. If someone has already signed it, use that latest signed version.
- Read every page and choose your signature position. Place the signature beside your company, leaving the other parties' signing areas clear.
- Select and unlock your personal ID. Use your saved ID and its password. During first setup, confirm your details and your authority to sign for the company.
- Confirm this particular PDF and sign. Tick the confirmation after reviewing the document and position, then choose Sign this document.
- Wait for the saving confirmation. The portal shows the progress of signing and saving beside the action. Once both are complete, download the signed PDF or find it under Documents.
Signing and saving are separate steps. If the PDF has been signed but copying it to the client file fails, use the option to retry saving the existing signed version. Do not add another signature simply to repeat the save.
Your personal ID is ready for the next contract
You do not need to create a new signing identity for every document. Your profile is linked to your portal account and company, while your personal signing ID is kept encrypted in the browser where you set it up.
The ID password unlocks it for a short signing session. Selecting the ID alone does not unlock it. Once unlocked, you can use it for the next document in that session, but each PDF still needs your separate review and approval. The ID locks after 10 minutes of inactivity or when you close or reload the signing page.
Save the encrypted ID backup when you set up your identity, and keep its password separately. You may need the backup if you change devices, use another browser or clear browser data. Your password and private signing key are not sent to Kodo's signing server.
The original and signed versions stay together
After successful signing and saving, the portal places the document in the correct company's client file. The signed version is available in Documents, with the unchanged original under Previous versions. Earlier signed revisions are retained as part of the document history.
That gives you and Kodo the same place to find the file. It also helps when an agreement needs several signatures: each person works on the latest version and adds their own signature while preserving those already present.
The administration around the signature can happen automatically. The decision to sign remains yours. Uploading a document or unlocking an ID does not approve a contract on your behalf.
Prefer Adobe Reader or Foxit? You can use those too
If you already use a desktop PDF reader, you can continue with it. Our Windows and Mac digital-signature guide explains the Reader procedure, creating or selecting a digital ID, leaving the file unlocked and returning the completed PDF. It also covers the certificate-based signing option in Foxit.
Use the digital signature with a digital ID, rather than a tool that only draws or pastes a signature image. When further signatures are needed, leave document locking off and pass on the latest signed file. Return it through your agreed Kodo channel so we can keep the case together.
Detailed instructions are also available in the portal's Help & Guides / FAQ, including the EKO-KOM digital-signature guide in English, Polish and German. Enter through the Kodo client area and open the guide in your preferred language.
Less email administration, a clearer next step
This service is part of how we are developing the Kodo workspace: documents, communication and the agreed administrative work connected in one place. The portal handles filing and version history so clients can spend less time assembling attachments and more time running their business.
Saving a contract in the portal does not automatically send it to EKO-KOM or complete registration. Kodo coordinates the remaining signatures and onward delivery within the agreed scope. You can see the document in your client file while that work continues.
For EKO-KOM agreements, its published guide describes the Reader procedure; it does not specifically endorse Kodo's browser tool. We follow the requirements for the particular contract and help you choose the appropriate signing route.
Open the Kodo client area to find your documents and signing workspace, or contact Kodo if you need help with a file or the next step.
Frequently asked questions
Can I send a scan or photograph of a signed contract?
No. Kodo now requires a complete PDF with a certificate-based digital signature. Sign the original PDF in the portal, Adobe Acrobat Reader or Foxit PDF Reader. Do not print the contract, sign it by hand and send us a scan or photographs instead.
Do I have to pay an invoice before I can sign a contract?
No. Contract signing is available to registered Kodo clients, including clients completing their first agreement before payment. Access to other paid services is handled separately.
Do I need to install another application?
You can use the signing workspace in your browser. Adobe Acrobat Reader and Foxit PDF Reader remain alternatives if you prefer a desktop application or need help with a PDF that the portal cannot process.
Can I upload a PDF that someone has already signed?
Use the latest complete signed PDF so the earlier signature remains included. Add your own signature in the correct place. If the document is locked or cannot accept another signature, contact Kodo before converting or changing it.
Where do I find the finished contract?
After the portal confirms successful saving, open Documents in your company workspace. The signed file is available there, and its unchanged original is retained under Previous versions.
What happens if I lose the password or change computers?
Keep the encrypted ID backup and its password safe. The backup lets you restore the ID when needed. A portal profile does not contain a recoverable copy of your private signing key, and Kodo cannot reset the ID password to unlock it.
Is the portal signature a qualified electronic signature?
The portal uses a personal self-signed digital ID and does not describe it as a qualified electronic signature or independent identity verification. Follow the recipient's requirements for the particular document; EKO-KOM's published Reader instructions are linked above.
How Kodo can help
Kodo helps international companies organise contracts, supporting documents and the agreed administrative work in Czechia. Our portal brings signing, document versions and communication into the same company workspace. We can help you identify the correct PDF and coordinate the next steps for your case.
For legal, tax, regulatory, certification and investment-incentive matters, companies should work with qualified specialists and the responsible authorities.
